This appliance repair estimate calculator prices a service call the way it really runs: a diagnostic fee and the time it takes, the repair hours, parts with your markup, the drive, and the second trip when the part isn't on the truck. It uses your tech's cost per hour with overhead and your margin, and gives you the repair estimate, what a declined visit makes or loses, the break-even and how the repair compares with the price of a new appliance.
Quick answer: Repair estimate = (tech hours × cost per hour) ÷ (1 − margin) + parts × (1 + markup), plus the diagnostic fee unless you credit it. Tech hours = diagnostic + repair + drive, plus another drive and setup if a second trip is needed. Repair vs replace = repair estimate ÷ price of a comparable new appliance.
An estimate from the numbers you entered, not a market price. Put in your own costs for a number you can stand behind.
Home service businesses answer only about half their calls (Invoca, July 2026), and owners spend about 11 to 16 hours/week on admin. Pricing is the easy part; the money leaks out in the calls you can't take, the quotes nobody chases and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for appliance repair companies that you run by voice from your phone:
Sources: Invoca, July 2026 (52% of home-service calls answered by a person, 60M+ calls); admin hours: Time etc / Censuswide 2023 and Amex SME Barometer 2026.

These are assumptions for illustration, not market figures. Swap in your own.
A washer repair: 20 minutes to diagnose, 1 hour to repair, 25-minute drive, a $65 part on the truck, tech labor $28 and overhead $40 an hour, $89 diagnostic fee credited toward the repair, 30% margin on labor, 60% parts markup, and $900 for a comparable new washer.
Tech hours are (20 + 60 + 25) ÷ 60 = 1.75, costing 1.75 × $68 = $119. The labor price is $119 ÷ 0.70 = $170, and the part sells for $104. The repair estimate is $274, with the diagnostic fee credited. Break-even is $119 + $65 = $184. If the customer declines, the $89 fee against $51 of visit cost leaves $38. The repair is 30.4% of a new washer.
If the part has to be ordered and a 40-minute second trip is needed, the estimate becomes $338.76: tell the customer up front rather than absorbing it.
Market rates from Housecall Pro appliance repair prices (updated Aug 21, 2026, checked Oct 31, 2026): a diagnostic visit runs $70 to $130, labor averages about $54 an hour, and a washing machine repair typically lands between $125 and $450. Here is one washer drain-pump estimate laid out line by line, with our own assumptions marked.
| Line | How it is priced | Amount |
|---|---|---|
| Trip and diagnostic fee | Inside the $70 to $130 range; credited if the customer approves | $100 |
| Labor | 1 hour at a $120 billed rate (assumption: about $54 tech pay plus overhead and margin) | $120 |
| Part | $65 drain pump at 60% markup (assumption) | $104 |
| Diagnostic credit | Fee applied to the approved repair | −$100 |
| Estimate to the customer | Trip + labor + part − credit | $224 |
$224 sits inside the $125 to $450 washer range, so it reads as fair. If the customer declines, the $100 fee is what you keep for the visit.
Many customers decline the repair once they hear the price, especially on older appliances. The diagnostic fee is what pays for those visits. Check that it covers the drive and the diagnosis time with some margin; the calculator shows whether a declined visit makes or loses money. Crediting the fee toward the repair helps close jobs and is common.
When the part isn't on the truck, the job needs another drive and setup. Price it in when you know it's likely, stock the parts that fail most on the brands you see, and order before you leave the first visit so the second one is quick.
Parts markup pays for stocking, ordering, returns and the parts warranty you give. Know the margin it gives and keep it consistent between techs. Put your labor and parts warranty on every invoice.
A common rule of thumb customers hear is to replace when a repair costs about half of a comparable new appliance, adjusted for age. Show them the comparison honestly. A customer who trusts your advice on a ten-year-old washer calls you for the next appliance and tells the neighbors.
Some brands need special tools, parts accounts or manufacturer training; others are covered by extended warranties with their own rates and paperwork. Refrigerator and AC-adjacent calls rise in summer heat, and ovens and ranges before holidays. Plan stock and schedule around those peaks.
The brand, model and serial number tell you the likely parts before you leave the shop. Ask for a photo of the tag when the call is booked. It raises first-visit fix rates, cuts second trips and lets you quote a tighter range on the phone, which is what most callers want to hear before they book.
Once the calculator gives you a price, the customer still needs it in writing before you order the part. Our appliance repair estimate template has the diagnostic fee, labor, parts and second-trip lines in the same order as this calculator, so you can copy the numbers straight across.

An appliance repair estimate has three lines: the trip or diagnostic fee, labor, and parts with your markup, minus the diagnostic fee if you credit it. Housecall Pro (updated Aug 21, 2026) lists diagnostic visits at $70 to $130 and labor at about $54 an hour. With a $100 fee, 1 hour billed at $120 and a $65 part marked up 60%, a washer estimate comes to $224 with the fee credited.
Build it from tech hours, your cost per hour, margin and parts with markup. With the worked example's assumptions (20-minute diagnosis, 1-hour repair, 25-minute drive, $65 part, $68 an hour cost, 30% margin, 60% markup) the estimate is $274 with the diagnostic fee credited.
At least the drive and diagnosis time at your cost per hour, plus a margin. The calculator shows what a declined visit makes at your fee.
Many companies do it to help close the job. Tick the box to see the estimate both ways.
A common rule of thumb is to replace when the repair is about half the price of a comparable new appliance, especially on older units. The calculator shows the repair as a share of a new one.
Add the drive and setup of the second visit to the labor. Tick second trip and enter its minutes.
