This appliance repair estimate template follows how appliance work is really priced: a diagnostic fee first, then the part you find, the labor, and the second trip when the part is not on the truck. Copy the fill-in version below, then see a worked estimate for a refrigerator that stopped cooling.
Quick answer: An appliance repair estimate should show the appliance (type, brand, model, serial, warranty), the customer's complaint and your diagnosis, the diagnostic fee and whether it is credited, each part with OEM or aftermarket and availability, labor, any second trip, sealed-system details with your EPA 608 certification, a repair-or-replace note, your warranty and the customer's approval.

An appliance repair estimate is different from most trade estimates because it is usually written twice: once on the phone, as a diagnostic fee and a rough range, and again in the kitchen, after you have found the failed part. The template below covers both, so the homeowner sees the same numbers in the same order from the first call to the invoice.
It also has to show who can do sealed-system work. The EPA requires technicians who maintain, service, repair or dispose of refrigerant-containing equipment to be certified under Section 608, and Type I covers small appliances (EPA Section 608 technician certification). Put your certification number on any refrigerator, freezer or window-unit estimate that touches the sealed system.
Copy this into your invoicing app or a document. Lines in brackets are what you fill in.
| Section | What to fill in |
|---|---|
| Your business | [Company name], [license number if your state requires one], [EPA 608 certification number], [phone] |
| Estimate | [Estimate number], [date], [valid for: 14 days] |
| Customer | [Name], [service address], [mobile], [email] |
| Appliance | [Type], [brand], [model number], [serial number], [age if known], [under manufacturer or extended warranty: yes/no] |
| Complaint | [What the customer said, in their words] |
| Diagnosis | [What you found], [test readings], [failed part and part number] |
| Diagnostic fee | [Amount], [credited toward the repair if approved today: yes/no] |
| Parts | [Part], [part number], [OEM or aftermarket], [price each], [in stock or days to arrive] |
| Labor | [Flat repair price, or hours x rate] |
| Second trip | [Charge, if the part must be ordered and you return] |
| Sealed system | [Refrigerant type and amount], [recovery], [certified tech name] |

| Warranty | [Parts: X days], [labor: X days] |
| Approval | [Customer signature or written text/email approval], [date and time] |
These prices are assumptions for illustration, not market rates. Our free appliance repair estimate calculator works out the price from your own diagnostic fee, labor rate, parts markup and second trips.
| Line | Quantity | Price | Amount |
|---|---|---|---|
| Diagnostic visit (credited if repaired today) | 1 | $95.00 | $95.00 |
| Defrost heater, OEM part | 1 | $68.00 | $68.00 |
| Defrost thermostat (replace with heater) | 1 | $24.00 | $24.00 |
| Labor, defrost system repair (flat) | 1 | $185.00 | $185.00 |
| Diagnostic credit | 1 | -$95.00 | -$95.00 |
| Estimate total, before tax | $277.00 |
Two lines on this estimate protect you. The diagnostic credit tells the homeowner the $95 is not lost if they approve today, which is usually what turns a "let me think about it" into a yes. And replacing the $24 thermostat with the heater costs little and prevents a callback you would do for free under your labor warranty.
Most appliance repairs are approved or lost in the kitchen. Send the estimate by text while you are still there, with a one-tap approval and a pay link, and order the part the minute it is approved. If the customer wants to wait, set a follow-up for the next morning; a fridge that is not cooling is a decision people make within a day.
Unmanually is a 24/7 AI Office Manager for appliance repair businesses that you run by voice. The AI Office Manager answers the "my fridge stopped cooling" calls while you are under a dishwasher, takes the brand, model and symptoms, quotes your diagnostic fee and books the visit. From the job, say "Defrost heater and thermostat, $277" and it writes this estimate, texts it for approval, orders the part and schedules the return trip. See Unmanually for appliance repair and how to get appliance repair leads.
Model and serial numbers, the complaint, your diagnosis, the diagnostic fee and credit, each part, labor, any second trip, warranty terms and the customer's approval with date and time.
Many shops credit it if the customer approves the repair on the same visit. It removes the main objection to saying yes on the spot; put the credit on the estimate as its own line.
The EPA requires Section 608 certification for technicians who service equipment containing refrigerant, and Type I covers small appliances. Only sealed-system work needs it, but list your number on those estimates.
Either build it into a flat repair price or show it as its own line. Leaving it off is where most appliance repair margin is lost.
Home service businesses answer only about half their calls (Invoca, July 2026), and owners spend about 11 to 16 hours/week on admin. Knowing what to do is the easy part; the money leaks out in the calls you can't take, the quotes nobody chases and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for appliance repair that you run by voice from your phone:
Sources: Invoca, July 2026 (52% of home-service calls answered by a person, 60M+ calls); admin hours: Time etc / Censuswide 2023 and Amex SME Barometer 2026.
Unmanually is an AI Office Manager that works 24/7 and that you run by voice from your phone. Leave your mobile number and the AI Office Manager calls you right away, the same way it would call back one of your customers. That call is the demo: it answers, books you a 15-minute time with the founder and follows up.
