Couples and clients compare photography quotes side by side. Here are the ten sections to copy and a full wedding quote worked from hours to the payment schedule.
Quick answer: A photography quote template should list the client and event, coverage hours, who shoots, what is delivered and when, editing scope, prints or albums, travel, usage rights, the price with a retainer and payment dates, and how long the quote holds. Our worked wedding quote comes to $4,320 with a 30% retainer of $1,296 to hold the date.

A photography quote template is the one-page document you send a specific client after an inquiry: their date, their hours, their price. It is not your pricing guide, which lists packages for everyone, and it is not the contract, which comes after they say yes. Mixing them up is why so many photographers send a PDF price list and never hear back. The client asked about their day, and got a menu.
If you have not worked out your packages yet, start with the photography pricing template, which builds prices from your real hours. This page turns those prices into a quote one client can say yes to.
These are assumptions for illustration, not market rates. Use your own rates from your pricing worksheet.
| Line | How it is worked out | Amount |
|---|---|---|
| Lead photographer coverage | 8 hours × $250 an hour | $2,000 |
| Second shooter | 6 hours × $75 an hour | $450 |
| Culling and editing | 600 delivered images; 18 hours of editing priced into the package rate of $40 an hour | $720 |
| Engagement session | 1 hour session plus 3 hours editing, package rate | $400 |
| Album | 10 × 10 in, 30 pages: $350 lab cost × 2 | $700 |
| Travel | 30 miles beyond the 50-mile radius, round trip 60 miles × $0.70 a mile | $42 |
| Subtotal | $4,312 | |
| Rounded quote | rounded to a clean number | $4,320 |
| Retainer to hold the date | 30% × $4,320, non-refundable | $1,296 |
| Second payment | 35%, due 90 days before the date | $1,512 |
| Final payment | balance, due 14 days before the date | $1,512 |
Two lines are where photographers lose money. Editing: a wedding often takes more hours behind the screen than on the day, and leaving those hours out of the quote is how a $4,000 wedding ends up paying less per hour than a portrait session. Album: lab cost times two covers design time and revisions; quoting it at cost means you design it for free.
The same template works for a family session or a business, with three changes. For portraits, replace coverage hours with session length and location, and state how many images are included and the price per extra image, because the sale often happens at the gallery, not the booking. For commercial work, the usage line becomes a license: where the images will be used (website, ads, print), for how long, and whether the client can let others use them. Commercial clients also expect a shot list attached and the file sizes and formats spelled out.
A short worked commercial example, with assumed rates: a headshot day for 12 employees at the client's office. Setup and teardown 1 hour, 12 people at 15 minutes each is 3 hours, so 4 hours on site at $200 an hour is $800. Retouching 12 selected images at $25 each is $300. Usage for website and LinkedIn for the life of the employment adds $200. The quote is $1,300, or about $108 a person, with 50% due to book the date because a business can cancel a day you turned others away for.
Couples usually inquire with three to five photographers at once. The quote that arrives first, uses their names and their venue, and says "I'm holding June 14 for you until Friday" gets the reply. Follow up on day three with one question ("Did you have any questions about the coverage?") and on day seven with the hold date expiring. Most quotes are lost to silence, not price.
Inquiries arrive while you are shooting, editing or at someone else's wedding. Unmanually is a 24/7 AI Office Manager that you run by voice: it answers the call or the inquiry, asks the date, venues, hours and guest count, checks your calendar, drafts this quote from your template for you to approve, sends it, follows up, and sends the retainer invoice when they say yes. Say "Smith wedding, June 14, eight hours with a second shooter and the album" from the car, and it is in their inbox before you are home.

Client and event, coverage hours, who shoots, deliverables, turnaround, editing scope, prints or albums, travel, usage rights, and the price with the retainer, payment dates and how long the quote is valid.
Many photographers ask for 25-50% to hold the date, non-refundable. In our worked example a 30% retainer on a $4,320 wedding is $1,296, with 35% due 90 days out and the balance 14 days before.
Start from coverage hours at your hourly rate, add a second shooter, editing hours, the engagement session, the album at lab cost times two and travel, round the total, then set the retainer and payment dates. Send it the same day with a date you will hold it until.
No. The quote is the price and scope for one client. The contract comes after they accept and covers cancellation, liability, image rights and what happens if you cannot attend.
Owners spend about 11 to 16 hours/week on admin, and a lead reached within an hour is nearly 7 times more likely to turn into a real conversation (HBR). Knowing what to do is the easy part; the money leaks out in the calls you can't take, the follow-ups nobody sends and the invoices that sit unpaid.
