Photography Pricing Template: A Worksheet That Starts From Your Real Hours

Updated October 21, 2026

Most photographers who search for a photography pricing template want a price list. A list only helps if the numbers under it are right, so this template starts one step earlier: what each hour of your working time needs to earn, and how many hours a session really takes once culling, editing and client emails are counted.

Quick answer: Calculate your cost of doing business and the income you need, divide by the hours you can work on client sessions in a year to get an hourly target, then list every hour a session takes (not only the shoot) and multiply. Add cost of goods (prints, albums, second shooter, travel) and round into packages.

Why session fees end up too low

A one-hour portrait session is rarely one hour. There is the inquiry and booking, planning, travel, the shoot, backup, culling, editing, gallery delivery, and the follow-up for prints. If the price was set for the hour behind the camera, every other hour is unpaid.

Template: photography pricing worksheet

Part 1: your hourly target

  • Income you want to pay yourself per year: $____
  • Annual business costs (gear replacement, software, insurance, website, marketing, studio, education): $____
  • Hours per year you can spend on client work (excluding admin you cannot bill and marketing): ____
  • Hourly target = (income + costs) ÷ hours = $____

Part 2: one session type (repeat for each package)

  • Inquiry, booking and planning: ____ h
  • Travel (round trip): ____ h
  • Shooting: ____ h
  • Backup and culling: ____ h
  • Editing: ____ h
  • Gallery delivery and client communication: ____ h
  • Total hours = ____ × hourly target = $____
  • Cost of goods (second shooter, prints, album, mileage, permits): $____
  • Package price = labor value + cost of goods = $____, rounded to $____

Illustrative numbers only. Time your own workflow for a few sessions to fill in the hours.

The useful surprise in this exercise is usually the editing line. If editing is where the hours go, either price for it or change the workflow (batch edits, presets, outsourcing) before cutting your rate.

Turning numbers into a price list

Mini sessions and events

Mini sessions look profitable because shooting time is short, but each client still needs booking, culling, editing and delivery. Run each mini session format through the worksheet with realistic per-client editing time. For event and commercial work, price by coverage hours plus editing hours and usage rights, and state clearly how images may be used.

Print and album sales

Products are where many photographers earn their margin, but only if someone follows up after the gallery is delivered. Price prints and albums from your cost of goods plus the time to design, order and deliver them, and schedule a follow-up message a week after delivery offering an album or wall art consultation.

Answer inquiries while you are shooting

Many photography inquiries arrive while you are behind the camera, and couples or families often book the photographer who replies first with a clear package. Unmanually is a 24/7 AI Office Manager: it replies to inquiries in about a minute with your packages, holds the date, sends the contract and invoice, and follows up after gallery delivery about prints and albums. Custom packages and negotiation stay with you, and it asks before anything that spends money. FAQ

Common questions

How do photographers calculate their prices?

Work out an hourly target from the income you need plus business costs divided by the hours you can spend on client work, then multiply by every hour a session really takes and add cost of goods.

Why do photographers charge so much for a one-hour session?

Because a one-hour shoot involves several more hours of planning, travel, culling, editing and delivery, plus equipment and business costs.

How many packages should a photographer offer?

Two or three per session type usually work well, each with a clear difference in hours, images or products.

Turn the hours this takes into minutes of talking.

Owners spend about 11 to 16 hours/week on admin, and a lead reached within an hour is nearly 7 times more likely to turn into a real conversation (HBR). Knowing what to do is the easy part; the money leaks out in the calls you can't take, the follow-ups nobody sends and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for photographers that you run by voice from your phone:

  • Answers your business line 24/7, quotes from your price list and books the booking on the live call, so the customer doesn't ring the next company on Google.
  • Sends the quote, follows up until they say yes, then sends the invoice and chases it until it's paid.
  • Texts confirmations and reminders, keeps your calendar and remembers every price and promise.
  • Plus a free website for your business, set up for you. On a plan, every form fill gets a call back from your AI Office Manager in about a minute.
