Septic Invoice Template: Free Fill-In for Pump-Outs, Inspections and Repairs

Updated October 27, 2026

By Moni Mindich, founder, 20 years in home improvement

This septic invoice template is built for how septic work is really billed: by the tank and the gallon, plus the extras that eat a morning (finding the lid, digging, cleaning the effluent filter) and the disposal fee you pay at the plant. Copy the fill-in version below, then see a worked pump-out invoice with every line added up.

Quick answer: A septic invoice should show the property and tank (size, type, lid depth), each billable line (pump-out, extra gallons, locating and digging, filter cleaning, disposal, repairs or parts), the technician and truck, the manifest or disposal ticket number your county asks for, payment terms, and the date the next pump-out is due.

What a septic invoice has to show

A septic invoice does two jobs a plumbing or HVAC invoice does not. It is a service record for a tank the homeowner cannot see, and it is often the only paper a buyer, inspector or county office will ask for when the house is sold. That is why the good ones carry the tank details and the disposal paperwork, not just a price. The EPA says household tanks are typically pumped every three to five years and should be inspected by a professional at least every three years (EPA, How to Care for Your Septic System, checked October 27, 2026), so an invoice that names the next due date is also your best repeat-business tool.

Your business[Company name], [license or permit number], [phone], [website]
Invoice[Invoice number], [service date], [due date or "due on receipt"]

Extra gallons[Gallons over the base] × [price per gallon]

Worked example: a pump-out invoice, line by line

These prices are assumptions for illustration, not market rates. Use your own price sheet; our septic pumping cost calculator works out a pump-out price from your truck, time and disposal costs.

LineQuantityPriceAmount
Pump-out, up to 1,000 gallons1$425.00$425.00
Extra gallons (1,250-gallon tank)250 gal$0.30$75.00
Locate and uncover lid, 18 inches deep1$95.00$95.00
Clean effluent filter1$35.00$35.00
Disposal fee, manifest #[number]1,250 gal$0.10$125.00
Total$755.00

Two things on this invoice pay you later. The finding "lid 18 inches deep, no riser" is your opening to quote a riser on the next visit, which turns a $95 digging line into a one-time sale and makes every future pump-out faster. And "Next pump-out due: October 2029" gives you a dated reason to call back in three years instead of hoping the customer remembers your name.

Lines septic companies forget to bill

Getting paid on the day

Most residential pump-outs are one-visit jobs, so the easiest invoice to collect is the one handed over before the truck leaves. Text or email the invoice from the driveway with a card link, and take payment then. For property managers and commercial accounts with terms, send the invoice the same day with the manifest number attached, and set a reminder for the due date; the longer it waits, the less likely anyone remembers the job.

Where Unmanually helps

Unmanually is a 24/7 AI Office Manager for septic companies that you run by voice. Say "Pumped the Miller tank, 1,250 gallons, dug 18 inches, cleaned the filter" from the truck, and the AI Office Manager writes this invoice from your price list, texts it with a pay link, files the manifest number, sets the pump-out reminder for three years out and chases the invoice if it is not paid. It also answers the backup calls that come in while you are on a job and books them. See Unmanually for septic companies, or read septic business software for the rest of the office.

FAQ

Common questions

What should be on a septic pumping invoice?

The property, the tank size and type, gallons pumped, each billable line (pump-out, extra gallons, locating and digging, filter, disposal, repairs), the disposal manifest number, payment terms and the date the next pump-out is due.

How do septic companies charge for extra gallons?

Most price the pump-out up to a stated tank size and add a per-gallon charge above it, because a bigger tank means more time and higher disposal fees. Show the gallons and the rate as their own line.

Should a septic invoice include the next pump-out date?

Yes. The EPA says household tanks are typically pumped every three to five years, so writing the next due date on the invoice gives the homeowner a record and gives you a dated reason to call back.

Can I charge for digging up the septic lid?

Yes. Locating and uncovering a buried lid is labor, often priced by depth or time. Billing it as a line also helps you sell a riser, which makes future visits faster.

Turn the hours this takes into minutes of talking.

Home service businesses answer only about half their calls (Invoca, July 2026), and owners spend about 11 to 16 hours/week on admin. Knowing what to do is the easy part; the money leaks out in the calls you can't take, the quotes nobody chases and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for septic companies that you run by voice from your phone:

  • Answers your business line 24/7, quotes from your price list and books the job on the live call, so the customer doesn't ring the next company on Google.
  • Sends the quote, follows up until they say yes, then sends the invoice and chases it until it's paid.
  • Texts confirmations and reminders, keeps your calendar and remembers every price and promise.
  • Plus a free website for your business, set up for you. On a plan, every form fill gets a call back from your AI Office Manager in about a minute.
