A remodeling estimate is a promise about scope as much as price. The sections below keep the price tied to the scope, so a change is a change order, not an argument.
Quick answer: A remodeling estimate template should list the scope room by room, demolition, each trade (your crew or a sub), materials with allowances for items the client still picks, permits and disposal, a contingency, your markup, exclusions, a payment schedule tied to milestones, and how change orders are priced. Show allowances as dollar amounts so selections over budget are clearly the client's change.

Homeowners use the words loosely. In this template an estimate is the priced scope you send after the walkthrough; it becomes the contract once signed, with the terms attached. In my years in home improvement, the remodels that went wrong rarely went wrong on price. They went wrong on what the price included. That is why most of the sections below are about scope.
The benchmark is Zonda's 2025 Cost vs. Value Report, as summarized by Modernize (updated October 22, 2026): a midrange bathroom remodel of a 5-by-7-foot room priced at $26,138 nationally, across 119 markets. The lines below are our assumptions for one job; use your own costs.
| Section | How it is worked out | Cost |
|---|---|---|
| Demolition and disposal | Dumpster $450 + 12 crew hours × $65 | $1,230 |
| Plumbing (sub) | Rough-in and trim, new valve and drain | $3,400 |
| Electrical (sub) | Fan, vanity light, GFCI circuit | $1,250 |
| Walls and waterproofing | Cement board, membrane, drywall, primer | $1,600 |
| Tile labor | 110 sq ft × $18 | $1,980 |
| Allowances | Vanity $1,200 + tile $1,100 + fixtures $1,500 | $3,800 |
| Paint and trim | Ceiling, walls, door casing | $600 |
| Permit | Local fee (assumption) | $350 |
| Subtotal | Sum of the above | $14,210 |
| Contingency | 10% of $14,210 | $1,421 |
| Job cost | $14,210 + $1,421 | $15,631 |
| Price | $15,631 × 1.5 markup (33.3% gross margin) | $23,447 |
At $23,447 the job lands about $2,700 under the Zonda benchmark, which is where a lean shop in a lower-cost market often is. Two checks before sending: a 50% markup is a 33.3% margin, not 50%, and the allowance lines are cost, so a client who picks a $1,900 vanity adds $700 of cost and, at the same markup, $1,050 of price. Write that rule in the change-order section. The free remodeling cost calculator runs the markup-versus-margin math for any job.
Walk the client through it, in person or on a video call, rather than emailing a PDF and waiting. Read the scope summary out loud first, then the exclusions, then the price; clients who hear the exclusions before the number argue less about them later. Show the allowances on a separate page with photos of what each amount buys at your usual suppliers, so "$1,200 vanity" means a real cabinet. Offer one alternate where it helps, such as a tub-to-shower conversion as a priced option, rather than three versions of the whole job. And set the expiry date in the meeting: tile and fixture prices move, and a 30-day window gives the client a reason to decide.
After the meeting, send the estimate the same day with a one-line summary in the email: scope, price, start window. If they need to talk to a spouse or a lender, book the follow-up call before you leave.

Client and job details, a plain scope summary, demolition and disposal, each trade marked own crew or sub, specified materials, allowances in dollars, permits, a stated contingency, one total price, exclusions, a milestone payment schedule and how change orders are priced.
Zonda's 2025 Cost vs. Value Report prices a midrange remodel of a 5-by-7-foot bathroom at $26,138 nationally, across 119 markets, as summarized by Modernize in October 2026. Local labor rates move that number a lot.
Many remodelers use around 10% on work behind walls and floors, and less on cosmetic jobs. State the percent and what happens to unused contingency, so it reads as protection for both sides.
Yes. Put each allowance in as a dollar amount inside the total, and state that selections over the allowance are a change order priced at your markup.
Home service businesses answer only about half their calls (Invoca, July 2026), and owners spend about 11 to 16 hours/week on admin. Knowing what to do is the easy part; the money leaks out in the calls you can't take, the quotes nobody chases and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for remodelers that you run by voice from your phone:
Sources: Invoca, July 2026 (52% of home-service calls answered by a person, 60M+ calls); admin hours: Time etc / Censuswide 2023 and Amex SME Barometer 2026.
