Owners read a property management invoice for one thing: what was taken out of their rent, and why. Here are the nine lines that answer that, and a month worked out.
Quick answer: A property management invoice template should show the rent collected per unit, the management fee as a percent of collected rent, leasing or renewal fees, maintenance with the vendor invoice attached, any markup, reserve changes, the net paid to the owner and the payment date. The national average management fee is 8.49% of collected rent (iPropertyManagement, updated September 23, 2026).

A property management invoice template bills the owner for your services. Many managers fold it into the monthly owner statement, where fees are deducted from rent before the payout. Either way, the owner wants the same answer: how much rent came in, what you took and why, and what they received. If any line needs a phone call to explain, it costs you more in owner trust than the fee is worth.
The fee rates use national averages from iPropertyManagement's survey of 722 branches (updated September 23, 2026): an 8.49% management fee and a leasing fee of 70.6% of one month's rent when bundled with management. Rents, the repair and the 10% markup are assumptions for illustration; your management agreement sets the real terms.
| Line | How it is worked out | Amount |
|---|---|---|
| Rent collected | $1,850 + $2,100 + $1,950 + $1,700 (new lease, full month) | $7,600 |
| Management fee | 8.49% × $7,600 | −$645.24 |
| Leasing fee, 4 Oak St | 70.6% × $1,700 one month's rent | −$1,200.20 |
| Repair: water heater element, 12 Elm | vendor invoice attached | −$340.00 |
| Repair coordination markup | 10% × $340 (if your agreement allows it) | −$34.00 |
| Reserve top-up | reserve held at $250 per unit; the repair was paid from rent | $0 |
| Net to owner | $7,600 − $2,219.44 | $5,380.56 |
Two lines cause most owner questions. The leasing fee: in the month a unit leases, the owner's payout drops by most of a month's rent, so tell them ahead of time ("your payout this month includes the leasing fee for Oak St"). The repair markup: if you charge one, it must be in the agreement and shown separately, never folded into the vendor's number. Run your own fee mix with the free property management fee calculator.
Owners judge a manager by consistency. Send statements on the same date, with the same layout, and the vendor invoices attached. A short note on anything unusual (a vacancy, a big repair, a late tenant) prevents the phone call. Trust accounting rules for how rent and reserves are held vary by state, so have your accountant or your state's real estate commission rules set the reserve and payout timing.
Most of a property manager's day is not invoicing; it is the maintenance calls, tenant questions and vendor scheduling behind each line on the invoice. Unmanually is a 24/7 AI Office Manager for property managers that you run by voice. It answers tenant calls day and night, sorts emergencies (no heat, a leak) from routine requests, books the vendor, collects the vendor invoice, and drafts the owner statement lines for you to approve. For choosing the rest of your stack, see small business property management software.
Owner and period, rent collected per unit, the management fee as a calculation, leasing and renewal fees, each repair with the vendor invoice attached, any markup on its own line, reserve changes, the net to the owner and the payout date.
iPropertyManagement puts the average at 8.49% of collected rent, with tenant placement averaging 70.6% of one month's rent when bundled with management (survey of 722 branches, updated September 23, 2026).
Many management agreements charge it on rent collected, so a vacant or unpaid unit earns no management fee. Check your own agreement and state it on the invoice.
Some agreements allow a markup or coordination fee on maintenance. If yours does, show it as its own line next to the vendor invoice, never inside the vendor amount.
Owners spend about 11 to 16 hours/week on admin, and a lead reached within an hour is nearly 7 times more likely to turn into a real conversation (HBR). Knowing what to do is the easy part; the money leaks out in the calls you can't take, the follow-ups nobody sends and the invoices that sit unpaid.
