Locksmith Invoice Template: What to Put on It, With a Worked Night Lockout and Rekey

Updated November 7, 2026

By Moni Mindich, founder, 20 years in home improvement

A locksmith invoice is read by someone who was locked out an hour ago and is now wondering why the bill is higher than the phone quote. The template's job is to show, line by line, what the call fee covered, why night work costs more, and what the hardware was.

Quick answer: A locksmith invoice needs your business name and license number if your state licenses locksmiths, the customer and address, the date and arrival time, a service call fee, any after-hours charge on its own line, labor per task, hardware with brand and quantity, a note that you checked ID and proof of residence, tax, total and how it was paid.

What goes on a locksmith invoice

Every line the customer could question gets its own row: the trip, the hour, the work, the parts. A locksmith invoice that shows one lump sum for a 2 a.m. lockout is the one that ends up in a card dispute. One that shows a $75 call fee, a stated after-hours charge and a $65 rekey reads like a fair bill.

Housecall Pro locksmith price guide (Aug 2026, checked Nov 7) puts the average service call fee at $35 to $100, a business-hours home lockout at $75 to $200, a rekey at $50 to $130 per lock and full lock replacement at $100 to $300 per lock. For nights, weekends and holidays it reports a $150 to $250 surcharge, or 1.5 to 2 times the daytime rate.

The fill-in template

LineWhat to write
HeaderBusiness name, address, phone, state license number (where required), invoice number
CustomerName, service address, phone, vehicle make/model/year for auto work
TimeDate, call time, arrival time, finish time
Service call feeFlat trip fee
After-hours chargeStated amount or multiplier, with the hours it applies
LaborOne line per task: lockout, rekey (per lock), install, key cut
HardwareBrand, model, finish, quantity, price each
VerificationID and proof of residence or ownership checked: type of document, last 4 digits
TotalsSubtotal, tax, total, payment method, paid or balance due
WarrantyParts and labor warranty, in days

The verification line protects you more than any other. If a neighbor ever claims you opened the wrong door, the invoice shows what you checked and when.

Worked example: a 10:40 pm house lockout with a rekey

A tenant who just moved in is locked out and wants the two exterior locks rekeyed while you are there. Prices are assumptions inside the Housecall Pro ranges above.

LineQtyPriceTotal
Service call fee1$75$75
After-hours charge (9 pm to 7 am)1$150$150
Residential lockout, non-destructive entry1$95$95
Rekey, per lock2$65$130
Keys cut4$4$16
Subtotal before tax$466

Quote it on the phone the same way: "$75 to come out, $150 after-hours, $95 to open the door, and $65 a lock if you want them rekeyed." If the phone quote and the invoice use the same lines, the customer has nothing to dispute.

Auto lockouts and key replacement: add the vehicle

For car work, put the make, model and year and the VIN's last digits on the invoice, and list the key type: standard, transponder or smart key. Housecall Pro puts car lockouts at $50 to $300, a range that wide because a 2006 pickup and a 2024 push-start SUV are different jobs. The vehicle line explains the price.

Get paid on the spot

Lockouts are one-time customers, so collect before you leave: card, tap or a payment link texted while you are still in the driveway. For property managers and businesses, invoice on net 15 terms with the unit number on every line, and send one statement a month.

Rekey or replace: let the invoice explain the choice

New homeowners and tenants often ask for "new locks" when a rekey does the job for less. Housecall Pro puts a rekey at $50 to $130 per lock and full replacement at $100 to $300. When you rekey, write "rekeyed existing hardware, old keys no longer work" on the line. When you replace, write why: a worn cylinder, a failed latch, or the customer choosing a smart lock. The reason line turns a price question into a decision the customer made.

Turn the hours this takes into minutes of talking.

Home service businesses answer only about half their calls (Invoca, July 2026), and owners spend about 11 to 16 hours/week on admin. Knowing what to do is the easy part; the money leaks out in the calls you can't take, the quotes nobody chases and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for locksmiths that you run by voice from your phone:

  • Answers your business line 24/7, quotes from your price list and books the job on the live call, so the customer doesn't ring the next company on Google.
  • Sends the quote, follows up until they say yes, then sends the invoice and chases it until it's paid.
  • Texts confirmations and reminders, keeps your calendar and remembers every price and promise.
  • Plus a free website for your business, set up for you. On a plan, every form fill gets a call back from your AI Office Manager in about a minute.
