A cleaning estimate template only works if the price under it comes from time, not from a guess. Below is a fill-in template you can copy into a doc or your software today, the math that sets the number, and a worked estimate for a real-sized house.
Quick answer: A cleaning estimate template should show the home (square feet, bedrooms, bathrooms, pets, condition), the type of clean (standard, deep, move-out), the estimated hours and crew size, the price for the first clean and the recurring price, the add-ons priced separately, what is excluded, and how long the estimate is valid. Price it from hours × your hourly rate, then round.

Two lines do most of the work. "Price confirmed on first visit if the home differs" protects you when a "light clean" turns out to be a year of buildup. "Each add-on priced" stops the customer from assuming the oven was included.
In twenty years around home improvement, the cleaning owners I watched lose money all priced by the room or by gut feel. The ones who made money priced from hours. The formula is short: estimated labor hours × your hourly rate per cleaner-hour, plus add-ons, rounded. Your hourly rate already has to carry wages, payroll tax, insurance, supplies, drive time and profit, so set it once from your own books and stop changing it per job.
For labor hours, keep a small table from your own jobs. A starting point that many owners use (and then correct with their own time logs) is below; treat every number as an assumption until you have timed ten of your own cleans.
| Home size | Standard clean (cleaner-hours) | Deep or first clean (cleaner-hours) |
|---|---|---|
| Up to 1,000 sq ft | 2.0 to 2.5 | 3.5 to 4.5 |
| 1,000 to 2,000 sq ft | 3.0 to 4.0 | 5.0 to 7.0 |
| 2,000 to 3,000 sq ft | 4.0 to 5.5 | 7.0 to 9.0 |
| Each bathroom over two | +0.5 | +0.75 |
| Pets or heavy condition | +15% to 25% | +25% to 40% |
Here is the template filled in for one home. The assumptions: an hourly rate of $55 per cleaner-hour, a two-person crew, and the time table above.
| Line | Assumption | Amount |
|---|---|---|
| Home | 1,800 sq ft, 3 bd / 2 ba, one dog, average condition | — |
| First (deep) clean labor | 6.0 cleaner-hours + 15% for the dog = 6.9, rounded to 7.0 | 7.0 × $55 = $385 |
| Add-on: inside fridge | 0.5 cleaner-hours | $27.50 |
| First clean total | $385 + $27.50 = $412.50 | rounded to $410 |
| Recurring every two weeks | 3.5 cleaner-hours + 15% = 4.0 | 4.0 × $55 = $220 |
| Recurring discount for a standing booking | about 3% | $214 per visit |
| Time on site | 7.0 cleaner-hours ÷ 2 cleaners | about 3.5 hours for the first clean, 2 hours after |
The estimate the customer sees says: first clean $410 (includes inside fridge), then $214 every two weeks, estimated 3.5 hours on site the first time and 2 hours after. That is clear enough that the customer can say yes on the phone, and every line ties back to a number you can check later. Run your own version with the free cleaning quote calculator, which uses the same time-based method.
The first clean takes longer, so price it separately. If you quote only the recurring price and then spend seven hours on the first visit, you either eat the cost or have an awkward conversation at the door. Quoting both on the same estimate also sells the recurring plan: the customer sees what they will pay after the first visit and books the schedule, not a one-off.
For move-out cleans, quote a single price with the empty-home assumption written in ("home empty of furniture and belongings"), because the landlord's checklist, not the tenant's, decides when the job is finished.
Most residential estimates now start on the phone or with photos. Ask the same six questions every time: square feet, bedrooms, bathrooms, pets, when it was last professionally cleaned, and which add-ons they want. Then send the estimate with the "price confirmed on first visit" line. The questions matter more than the format: an estimate built on the same six answers every time is consistent across your team, and a crew lead can quote without calling you.
Speed decides a lot of cleaning jobs because the customer usually asked two or three companies at once. Send the estimate the same day you get the answers, and follow up once two days later with a single question ("Want me to hold [day] for your first clean?"). After that, add the lead to a monthly check-in rather than chasing daily.
The part of this that eats an owner's evening is the phone: asking the six questions, typing up the estimate, sending it and remembering the follow-up. Unmanually is a 24/7 AI Office Manager that answers the call, asks your questions, builds the estimate from your price list, sends it, follows up and books the first clean. The home details (square feet, bedrooms, bathrooms, pets, condition), the type of clean, the scope by room, add-ons priced separately, the estimated hours and crew size, the first-clean price and the recurring price, what is excluded, and how long the estimate is valid.
Estimate the cleaner-hours from the home's size, bathrooms, pets and condition, multiply by your hourly rate per cleaner-hour, add priced add-ons and round. Quote the first or deep clean separately from the recurring price, because it takes longer.
Most customers prefer a flat price, so build it from hours and show the flat number, with a line saying the price is confirmed on the first visit if the home differs from the description.
Thirty days is common. It gives the customer time to decide without locking you into a price after your wages or supply costs change.
Home service businesses answer only about half their calls (Invoca, July 2026), and owners spend about 11 to 16 hours/week on admin. Knowing what to do is the easy part; the money leaks out in the calls you can't take, the quotes nobody chases and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for cleaning companies that you run by voice from your phone:
Sources: Invoca, July 2026 (52% of home-service calls answered by a person, 60M+ calls); admin hours: Time etc / Censuswide 2023 and Amex SME Barometer 2026.
Unmanually is an AI Office Manager that works 24/7 and that you run by voice from your phone. Leave your mobile number and the AI Office Manager calls you right away, the same way it would call back one of your customers.
