Auto Repair Shop Estimate Template: Free Fill-In With Authorization and an Added-Work Log

Updated October 28, 2026

By the Unmanually team, written from the sources cited in the text

This auto repair shop estimate template doubles as a work order and an approval record. It is built to the strictest common rules, California's, so the estimate, the added-work approval and the final invoice line up, and the bay does not sit idle waiting for a customer to call back.

Quick answer: An auto repair shop estimate should list the vehicle (VIN, plate, odometer), the customer's concern, any diagnostic charge, each part marked new, used, reconditioned or rebuilt, each labor operation, shop fees, sublet work, the total before tax, whether old parts are to be returned, the customer's signed authorization, and a log of added work with who approved it, how, and the date and time.

What an auto repair estimate has to do

An auto repair shop estimate is a price, a work authorization and, in many states, a legal document. California is the clearest example. Its Bureau of Automotive Repair says a shop must give a written estimate before doing any work, the estimate must give the total estimated price for parts and labor and itemize the parts and the method of repair, and if the job will cost more, the shop must contact the customer, describe the added work and cost and get permission before going on (California Bureau of Automotive Repair, A Consumer's Guide to Auto Repair). Other states have similar rules; check yours. The template below is built to meet the stricter version, so it works almost anywhere.

Worked example: a brake job that grows

These prices are assumptions for illustration. Our free auto repair estimate calculator works out book hours, parts markup, shop supplies and your effective labor rate.

The added-work line is where shops lose money and customers lose trust. The car is on the lift, the tech has found a sticking caliper, and the customer is at work. If nobody reaches them, the bay sits idle. If someone does the work without approval, the shop eats it or fights over it. The fix is a fast, recorded approval: what was found, the added cost and the customer's yes, with their name, number, date and time, which is exactly what the BAR guide asks shops to note for phone approvals.

Estimating diagnosis on its own

On newer cars, the first estimate is often for diagnosis only. The BAR guide notes that an estimate may cover the diagnosis alone, or the diagnosis and the repair. Write the diagnostic estimate as its own signed authorization, with the hours and the price, and say what the customer gets for it: the cause found and a written repair estimate. Then write the repair estimate as a second authorization. Customers who know the diagnosis has a fixed price are far less likely to argue about it when the repair is declined, and your tech is paid for the hour on the scan tool either way.

FAQ

Common questions

Is a written estimate required for auto repair?

In California, yes: the Bureau of Automotive Repair says a shop must provide a written estimate before doing any work. Many other states have similar rules, so check yours.

What if the repair costs more than the estimate?

Under the California rules, the shop must contact the customer, describe the added work and cost, and get permission before continuing. For a phone approval, note the name and number of the person who approved it and the date and time.

Do I have to give the customer their old parts?

In California, only if the customer asks before the work is done. Parts returned to a supplier for a core charge or warranty may not be returned, but the customer can see them.

Should shop supplies be on the estimate?

Yes. Show the amount and how it is calculated, such as a percentage of labor, so the final invoice has no surprise line.

Turn the hours this takes into minutes of talking.

Home service businesses answer only about half their calls (Invoca, July 2026), and owners spend about 11 to 16 hours/week on admin. Knowing what to do is the easy part; the money leaks out in the calls you can't take, the quotes nobody chases and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for auto repair shops that you run by voice from your phone:

  • Answers your business line 24/7, quotes from your price list and books the job on the live call, so the customer doesn't ring the next company on Google.
  • Sends the quote, follows up until they say yes, then sends the invoice and chases it until it's paid.
  • Texts confirmations and reminders, keeps your calendar and remembers every price and promise.
  • Plus a free website for your business, set up for you. On a plan, every form fill gets a call back from your AI Office Manager in about a minute.
