Painting Estimate Calculator

By Moni Mindich, founder, 20 years in home improvement

Updated October 22, 2026

This painting estimate calculator prices a job per square foot from the way painters really work: wall and ceiling area, coats, how much prep the surfaces need, trim footage and doors, how fast your crew rolls and cuts, what your labor really costs, the paint you buy and the margin you want. You get a job price, the price per square foot, the gallons to buy and the break-even below which the job loses money.

Quick answer: Job price = (labor hours × labor and overhead per hour + paint and sundries) ÷ (1 − margin), never less than your minimum. Labor hours = wall and ceiling square feet × coats ÷ your square feet per hour, plus trim and doors, plus the prep percentage. Gallons = painted square feet × coats ÷ coverage, rounded up.

An estimate from the numbers you entered, not a market price. Put in your own costs for a number you can stand behind.

You just spent 10 minutes on one job. Unmanually turns that into a 10-second voice note.

Home service businesses answer only about half their calls (Invoca, July 2026), and owners spend about 11 to 16 hours/week on admin. Pricing is the easy part; the money leaks out in the calls you can't take, the quotes nobody chases and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for painting contractors that you run by voice from your phone:

  • Answers your business line 24/7, quotes from your price list and books the job on the live call, so the customer doesn't ring the next company on Google.
  • Sends the quote, follows up until they say yes, then sends the invoice and chases it until it's paid.
  • Texts confirmations and reminders, keeps your calendar and remembers every price and promise.
  • Plus a free website for your business, set up for you. On a plan, every form fill gets a call back from your AI Office Manager in about a minute.

How to use this painting estimate calculator

  1. Measure the surfaces. For each room, add the wall lengths, multiply by the height and take out big openings like garage-size doors or picture windows. Ceilings are the floor area.
  2. Count trim and doors separately. Baseboard, casing and crown are slow, fiddly work; per-square-foot prices that ignore them lose money in trim-heavy homes.
  3. Choose coats and prep honestly. A big color change or a heavily patched wall changes the hours far more than the square footage does.
  4. Use your crew's real production rates. Track a few jobs: square feet painted per coat divided by painter-hours on the walls. Use that here.
  5. Set margin and minimum. The result updates as you type, with the gallons to buy and every step of the math.

The formula

wall hours = wall sq ft × coats ÷ wall sq ft per hour; ceiling hours the same way
painter-hours = (wall + ceiling + trim ft ÷ trim rate + doors × minutes ÷ 60) × (1 + prep %)
gallons = (wall + ceiling sq ft) × coats ÷ coverage, rounded up to whole gallons
break-even = painter-hours × (labor + overhead per hour) + paint + sundries
job price = max(break-even ÷ (1 − margin), minimum)
price per sq ft = job price ÷ (wall + ceiling sq ft)

Worked example

What a commercial painting estimate looks like

Sourced market rates, checked November 2, 2026 (ThePricer, July 15, 2026): commercial interior walls only $1.50-$4.00 per square foot; full interior with ceilings and trim $2.50-$6.00; exterior $2-$6 per paintable square foot; a gallon covers about 350-400 sq ft.

Example (our assumptions): a small office with 2,500 sq ft of paintable wall, two coats, painted while the office is closed, with patching and caulking on about a third of the walls.

That sits inside the source's $5,000-$15,000 range for a 2,500 sq ft office. Run the same walls through the calculator above with your crew's production rate, paint price and margin to check that the market rate covers your costs; after-hours work, lifts and specialty coatings push it up.

These are assumptions for illustration, not market figures. Swap in your own.

Three rooms with 1,200 sq ft of walls and 400 sq ft of ceilings, 200 ft of trim and 4 doors, 2 coats, standard prep. One painter does 175 sq ft of walls and 150 sq ft of ceiling per hour per coat, 60 ft of trim an hour and 45 minutes a door. Paint covers 350 sq ft a gallon at $45, sundries 15% of paint, $30 labor plus $10 overhead per painter-hour, 30% margin.

Walls take 1,200 × 2 ÷ 175 = 13.71 hours, ceilings 400 × 2 ÷ 150 = 5.33, trim 3.33, doors 3. That is 25.38 hours, plus 15% prep = 29.19 painter-hours, or $1,167.52 of labor and overhead at $40. Paint: 1,600 × 2 ÷ 350 = 9.1 gallons, so you buy 10 gallons = $450, plus $67.50 sundries. Break-even is $1,685.02. At 30% margin the price is $1,685.02 ÷ 0.70 = $2,407.18, or $1.50 per sq ft of walls and ceilings and $82.47 per painter-hour.

Pick heavy prep instead and the hours rise to 34.26: the same rooms then need $2,697 at the same margin. Prep is where painting bids are won or lost.

How to price a paint job

Per square foot, per room or by the hour?

Homeowners like a per-room or per-square-foot number because they can compare it. Build that number from hours. A per-square-foot rate that works on an empty new-build loses money in an occupied home full of trim, furniture and nail holes, so keep the hours in the estimate even if the customer only sees the total. Write down what is included (walls, ceilings, trim, doors, colors, coats) so the customer compares like for like with other bids.

Walls, ceilings, trim and doors are different work

Rolling open walls is the fastest thing a painter does. Ceilings are slower and harder on the body. Trim and doors are detail work where one painter may finish only a few dozen feet an hour. Price each one at its own rate so the bid holds up when a home has crown molding in every room.

Coats and color changes

Same-color refreshes can be one coat; most jobs are two; going from dark red to white can take a primer plus two. Ask the color question on the first call so the estimate isn't wrong before you arrive. Ask about sheen too: high-gloss trim and kitchen walls show every roller mark and take longer.

Exterior work and seasons

Exterior paint has its own production rates, ladder and lift time and weather days. Many painters fill late fall and winter with interior work and book exteriors early in spring before the schedule fills. A small discount for booking interiors in the slow months fills the calendar without cutting your summer prices.

Buy whole gallons, quote whole gallons

The calculator rounds paint up to whole gallons because that is what you buy. If you use five-gallon buckets, put the per-gallon bucket price in, and keep sundries as a share of paint so it scales with the job.

Quote calls come in while you're on a job

People call two or three painters and book whoever gets back to them with a number. Unmanually is an AI Office Manager that works 24/7 and that you run by voice: the AI Office Manager answers, asks the rooms, ceilings, trim, colors and timing, gives your price from your rates, books the estimate visit or the job and texts the confirmation, then sends the invoice and chases it. FAQ

Common questions

How do I use a commercial painting cost calculator?

Enter the paintable square feet (not the floor area), the coats, how much prep the walls need, your crew's square feet per hour, paint price and margin; the calculator returns the job price and price per square foot. As a check, 2026 commercial interior walls run about $1.50-$4.00 per square foot (ThePricer, July 2026), so a 2,500 sq ft office with some patching comes to about $7,200 at the midpoint.

How much should I charge per square foot to paint interior walls?

Divide your full price by the painted area, and get the price from hours and costs first. With the worked example's assumptions (two coats, standard prep, $40 an hour all-in, 30% margin) walls and ceilings with trim and doors come to about $1.50 per square foot. Your rates, prep and trim count will move that number.

How many gallons of paint do I need?

Multiply the painted square feet by the number of coats and divide by the coverage on the can, often a few hundred square feet a gallon. The calculator rounds up to whole gallons because that is what you buy.

How long does it take to paint a room?

A 12 × 14 room with 8 ft walls has about 416 sq ft of wall. At an assumed 175 sq ft per hour per coat, two coats take about 4.75 painter-hours before ceilings, trim, doors and prep. Use your own rate.

Should painters charge by the hour or by the job?

Most customers want a fixed price for the job. Estimate the hours behind it, then quote the job. Hourly works for small touch-ups and work where the scope is unclear.

What profit margin should a painting contractor aim for?

Pick the margin that pays you, your slow months and growth. The calculator divides break-even by one minus your margin, so the figure you enter is your real share of the price, not a markup.
