Most pool service disputes start with what the monthly price was supposed to include. Here is a quote template that settles it in writing, and one pool priced two ways.
Quick answer: A pool service quote template should state the pool size and type, visit frequency, what each visit includes, whether chemicals are included or billed separately, the filter-clean schedule, what counts as a repair, the green-pool exclusion, the monthly price and billing date, and how to cancel. In our worked example, weekly service on a 20,000-gallon pool prices at $252 a month with chemicals or $200 without, at a 25% margin.

A pool service quote template looks simple until the first month a customer's pool turns green after a storm, or the first time the filter needs a $90 cartridge. Then the question is what the monthly price covered. Weekly pool service is a subscription with a physical asset attached, and the quote is the only place to settle what the subscription includes before anything goes wrong.
These are assumptions for illustration, not market rates. The pool is 20,000 gallons, plaster, chlorine, no spa, serviced weekly (4.33 visits a month on average).
| Line | With chemicals | Without chemicals |
|---|---|---|
| Labor: 30 minutes on site + 10 minutes drive | 4.33 × 0.67 h × $45 loaded = $130 | $130 |
| Chemicals: liquid chlorine and acid | 4.33 × $9 average = $39 | billed at cost + 20% |
| Filter clean every 3 months | $60 ÷ 3 = $20 a month | $20 a month |
| Cost | $189 | $150 |
| Price at 25% margin, cost ÷ 0.75 | $252 | $200 |
| If your area only pays $185 / $135 | cost $189: loses $4 a month | cost $150: loses $15 a month |
The worked price ($252) may be higher than your area pays, which is the point of doing it: if the market pays $185, this pool loses money until the route gets tighter (less drive time) or the visit gets shorter. Drive time is 25% of the labor line here. Adding two more pools on the same street cuts it to a few minutes each, and that, not the price, is where most route profit comes from. Two one-off jobs bring in most new weekly customers, and both deserve their own quote line rather than a vague "call for price". A spring opening covers removing and cleaning the cover, reinstalling ladders and rails, starting and checking equipment, and the startup chemicals. With assumed figures of 2 hours on site at $45 an hour, $40 of startup chemicals and a 25% margin, that is ($90 + $40) ÷ 0.75 = about $175. A green-to-clean depends on how green: a light green pool may take one visit, a black-green swamp three or more plus a filter clean and extra shock. Quote it as a starting price per visit, say how many visits you expect, and state that the price is confirmed after the first visit. Both jobs are the moment to offer weekly service, because the customer has just seen what the pool looks like without it.
Chemicals-included pricing is easier to sell and easier to bill, but a pool that eats chlorine in July can wipe out the month's margin. Chemicals-billed pricing protects you, but customers dislike surprise lines. A common middle path is chemicals included up to a cap ("up to 4 gallons of chlorine a week"), with anything above billed at cost plus a markup, written in line 4 of the template.
Pool owners call in spring opening season and right after a storm, which is exactly when you are busiest. Unmanually is a 24/7 AI Office Manager for pool service companies that you run by voice. It answers the call, asks the gallons, the surface, salt or chlorine and the gate code, checks which route day has room on that street, sends the quote from your template, sets up the monthly billing when they say yes, and texts the readings after each visit if you dictate them. For more on routes and seasons, see pool cleaning business software.
Pool size and type, visit frequency and day, what each visit includes, whether chemicals are included or billed, the filter-clean schedule, how repairs are approved, a green-pool exclusion, readings after each visit, the monthly price and billing date, and cancellation terms.
Either works if it is written down. Included is easier to sell; billed protects your margin in summer. A cap on included chemicals with anything above billed at cost plus a markup is a common middle path.
Add labor (time on site plus drive, times your loaded hourly cost), chemicals and the filter-clean share, then divide by one minus your margin. In our example a 20,000-gallon pool costs $189 a month with chemicals and prices at $252 before checking the local market.
As a separate one-off green-to-clean job with a starting price, priced by how green it is and how many visits it takes, never inside the monthly service price.
Home service businesses answer only about half their calls (Invoca, July 2026), and owners spend about 11 to 16 hours/week on admin. Knowing what to do is the easy part; the money leaks out in the calls you can't take, the quotes nobody chases and the invoices that sit unpaid. Unmanually is a 24/7 AI Office Manager for pool service companies that you run by voice from your phone:
Sources: Invoca, July 2026 (52% of home-service calls answered by a person, 60M+ calls); admin hours: Time etc / Censuswide 2023 and Amex SME Barometer 2026.
Unmanually is an AI Office Manager that works 24/7 and that you run by voice from your phone. Leave your mobile number and the AI Office Manager calls you right away, the same way it would call back one of your customers. That call is the demo: it answers, books you a 15-minute time with the founder and follows up.
