Food cost is two numbers: the week's actual food cost percent, and the plate cost behind each menu price. One template for each, worked through.
Quick answer: Food cost % = (beginning inventory + purchases − ending inventory) ÷ food sales × 100. A food cost calculation template needs a weekly sheet for that formula and a plate cost card for each dish: every ingredient's portion, unit cost and yield, summed to a plate cost, then divided by your target food cost % to get the menu price.

According to the National Restaurant Association Operations Data Abstract (FY2024 medians, as reported by Duckhub, updated October 3, 2026), the median food and beverage cost is about 32.0% of sales for full-service restaurants and 32.4% for limited-service. Those are medians across many concepts; a pizza place and a steakhouse will sit far apart. The useful number is your own, measured the same way every week, and the trend in it.
Count inventory at the same time each week, before the first delivery, and keep food separate from beverage and paper goods.
| Line | Worked example (our assumptions) | Amount |
|---|---|---|
| Beginning inventory | Count from last Monday | $8,400 |
| Purchases | 6 deliveries, net of one credit | $11,250 |
| Ending inventory | Count this Monday | $7,900 |
| Cost of food used | $8,400 + $11,250 − $7,900 | $11,750 |
| Food sales | POS, food only | $35,600 |
| Food cost % | $11,750 ÷ $35,600 | 33.0% |
| Gap to a 31% target | $35,600 × 2.0% | $712 this week |
A $712 weekly gap is about $37,000 a year. It usually comes from a few dishes priced off old invoices, portions drifting, or waste nobody logs, which is what the plate cost card finds.
One card per menu item. Columns: ingredient, portion, purchase unit and price, yield percent (what is left after trimming or cooking), cost per portion. Sum the column, then menu price = plate cost ÷ target food cost %.
| Ingredient | Portion and price | Cost |
|---|---|---|
| Chicken breast | 8 oz at $4.20/lb, 90% trim yield: $2.10 ÷ 0.90 | $2.33 |
| Breading and egg | Flour, egg, crumbs | $0.35 |
| Marinara | 4 oz | $0.45 |
| Mozzarella | 2 oz at $4.80/lb | $0.60 |
| Spaghetti | 5 oz dry at $1.60/lb | $0.50 |
| Parmesan and garnish | Grated, basil | $0.20 |
| Bread side | 1 roll and butter | $0.30 |
| Plate cost | Sum | $4.73 |
| Menu price at 30% | $4.73 ÷ 0.30 = $15.77, rounded | $15.95 |
Leave out the yield and the card says $4.50, and the dish is priced about 77 cents too low on every plate. Update each card when a main ingredient's invoice price moves more than about 5%, and recheck the menu price. The weekly sheet only works if the count is fast enough to happen every week. Three habits get it under half an hour for a typical independent kitchen:
Two people counting, one calling out and one writing, beats one person doing both. Same day, same time, same order, every week, or the week-to-week change is noise.

Food cost % = (beginning inventory + purchases − ending inventory) ÷ food sales × 100. Use food sales only, before tax and tips, and count inventory at the same time every week.
The National Restaurant Association Operations Data Abstract puts the FY2024 median food and beverage cost at about 32.0% of sales for full-service and 32.4% for limited-service restaurants (as reported by Duckhub, October 2026). Your concept and menu decide your own target.
List every ingredient with its portion and purchase price, divide by the yield percent for anything trimmed or cooked down, and add the lines. Menu price = plate cost ÷ your target food cost %.
Weekly for the overall percent, at the same day and time. Update plate cost cards when a main ingredient's price moves noticeably.
